Hours – 18.5 hours per week
This role would involve delivering an efficient and effective administrative support service for the Adult Learning and to provide excellent Customer Service to Learners and curriculum teams.
Main Duties
* To be the first point of contact for our learners and for any one attending our localities: Reception duties to include:
* answering enquiries by telephone or in person
* dealing with enquiries from public and other employees.
* makes routine calls to obtain information/resolve queries
* Provide (Adult Learning Specific) Information Advice and Guidance (IAG) to ensure learners are enrolled to appropriate courses or referred to alternative provision.
* Enrol learners to Adult Learning courses following specific Education and Skills Funding Agency (ESFA) guidelines and service procedures providing excellent customer service throughout.
* Liaise with curriculum teams to ensure course provision is optimised in each locality.
Support curriculum teams at centres across localities deliver classes, enrolment events
Exams
* Support the effective delivery of exams including invigilation and provision of materials in compliance with Awarding body requirements.
* Register learners and claim certificates with Awarding organisations
Administration of exams and processing of accreditation according to awarding body guidelines.
Data
Input information accurately to the Management Information System (MIS) and extract, manipulation and use information to support service delivery.
Finance
* Ensure financial transactions are carried out efficiently using LCC iProcurement system.
* Process invoices, timesheets, and tutor pay claims and check for errors, resolving routine queries and recording details before passing for certifying/validation.
Maintain centre supplies through re-ordering of basic resources.
Other Duties
* Arrange meetings and takes minutes
* Ensure policies and procedures are followed, refer and resolving queries in a timely way.
* Undertake other duties within scope of the job purpose, the title and grading of the job.
Remain flexible to meet service need and be prepared to travel to other locations within the County.
Information Management/Information Security
* Ensure that information is held and communicated safely and securely, respecting confidentiality
* Understand the need for timely accurate and complete information and deliver work in accordance to LCC policies and procedures
* Provide administrative support in collating information for routine LCC data processing
Experience required.
* Reception and customer care experience.
* Experience of giving information and advice on adult learning and apprenticeships.
* Clerical experience in a range of tasks to include word processing, filing, photocopying, faxing, taking and relaying messages, data input, maintaining records.
* Routine cash handling experience.
* Arranging and servicing meetings, note taking and producing minutes.
* Organising tasks to meet priorities.
* Experience in a range of software packages and data handling
* Working as a team member
